How to Fall in Love with Data Entry

Love_Data_Entry.jpgMy high school typing teacher would be disappointed with my current ‘Hunt and Peck’ approach to data entry.  I know the keyboard pretty well, but still have to look at it to make sure I don’t make mistakes.  A lot has changed since I learned to type – White Out and correction tape are no longer required.  However, mistakes or incorrect index data can make it impossible for users to find records.

How to Love Data EntrySo why do we love data entry at Extract Systems?  Because if an organization is spending a lot of resources on data entry we can help them save both time and money with our intelligent software solution.  This can all be done while making the information available more quickly and eliminating errors/inconsistencies that often result from a manual process with multiple users.  On average, for every 10 fields you index we capture 7.5 of the fields 100% correct requiring no modifications. The remaining fields may require one or multiple characters to be swiped, highlighted, rubber banded, or manually entered.

Redaction and Indexing Sample

FLEX Index color codes each character based on how confident we are the information is correct and jumps to the page in the document where the data was found.   Extract Systems can apply specific indexing guidelines for any organization and validate the data with your existing database.  Once up and running FLEX Index can be configured to collect feedback to learn from changes made by users.

In the meantime, follow these Do's & Don'ts from The Order Expert for data entry to make the most of manual entries.

Do...

  • Break up data entry sessions
  • Have sufficient amounts of data to enter
  • Regularly save entered data
  • Enlist help

Don't...

  • Wait until the last minute to enter data
  • Enter data when you are tired
  • Forget to upgrade database software
